COVID 19 ADDITIONAL CONDITIONS – as at 19th July 2020

You must read, sign and return these terms & conditions prior to using the function room.

It is the hirer’s responsibility to ensure that all government guidelines in relation to Covid 19 are adhered to at all times during the hirer’s use of the Club facilities and specifically all social distancing requirements.  

For the avoidance of doubt, it is the expectation that 2m distancing should be maintained within the function room for all activities.

The hirer must complete their own COVID 19 risk assessment prior to use of the function room.

The hirer must ensure that all relevant sporting or otherwise governing body guidance is adhered to at all times.

The hirer must ensure all participants in their function or activity, use the hand sanitiser provided when entering and exiting the function room.

The hirer should minimise the use of third party equipment in the function room and wherever possible, should request any participants to bring their own equipment (eg. mats for classes).

It is the duty of the hirer to fully wipe down any chairs or tables used in the function room with anti-bacterial wipes or similar.

It is the duty of the hirer to wipe down all frequently touched surfaces within the function room including the door handles, push plates, push bars, light and power switches and any other surface touched within the room, with anti-bacterial wipes or similar at the end of every activity session.

There will be a minimum period of 15 minutes between each booking in the function room. This is to provide time for the hirer to do the necessary cleaning/wiping down at the end of their hire as well as and to minimise the possibly of different hirer’s participants congregating outside.

Wherever possible, all external doors to the function room should be kept open at all times during your function.  Outside doors should however be closed when leaving the function room for security.

Users of the function room must enter and exit the function room through the rear doors to the Watlington Club. Users must not use the front entrance (door onto the High Street) to access the function room.

Please encourage all participants not to arrive early for your activity or function and to avoid waiting in groups outside the function room. Those arriving prior to the start of the activity or function should wait outside the building, adhering to social distancing at all times, until invited into the function room by the hirer.

Please encourage all participants to leave promptly after your activity or function and to avoid waiting around or socialising outside the function room.

Users should take care to adhere to the priority/one-way system in operation in the corridor to the toilet. Users should minimise as far as reasonably possible the surfaces that they touch in using the toilet and wipe down any touched surfaces with anti-bacterial wipes or similar.

All efforts to minimise the need for anybody to raise their voice (or sing) should be taken.  Ie. No loud music to be played.

It is the hirer’s responsibility to record information about every person that uses the function room during their hire period for the purposes of Track & Trace.  As a minimum, information gathered must include:  Name, telephone number & email address.  The hirer should inform all the participants that their information will be shared with The Watlington Club, if required, for the purposes of the Track & Trace system.
